Facility Scheduling - Online Requests
Once you've added your locations, and added your programs, you're now ready to start pairing up programs at locations during certain dates and times. There are two ways to match programs to locations; you can manually book a program at a location by selecting the dates and times yourself, or you can accept an online request for usage. The second option - online requests - is described below.
How Online Requests Work
To make an online request, people visit a StadiumRoar website for your organization. Once on the site, they can choose to send you an online request for facility use. People first select the program they want to use the location for, they then choose the location they want, and finally, they select the desired dates and times. Once a request is sent, you'll be notified by email, and given the option to accept or deny it. If you accept it the dates and times become booked and added to your official schedule.
Getting a Free StadiumRoar Website
To take online requests through StadiumRoar, you first need to have a StadiumRoar website, which is what people will visit in order to send you requests. If you don't already have a StadiumRoar website for your organization, it's OK; it takes less than 10 seconds to get a site, there is no technical experience needed and it is 100% free. To get a site, log into StadiumRoar, and click the Create Site button.
Once You Have Your Site
Now that you have a site, enabling online requests from it is easy. Log into your site as an admin and follow these simple steps:
1.) Click the Scheduling link inside the Membership box on the Home page
2.) Click the Facility Scheduling option
3.) Go to the Location Requests tab, select your name in the Manager chart and choose to "receive requests"
Allowing Requests to Other Managers from Your Site
You also have the option to let other site managers accept online requests from site as well. This option is very useful if multiple people manage different facilities for your organization, and you want one central place to display all schedules. Learn more about adding managers to your site.
How to Get People to Your Site
Once you have online requests enabled, all you need to do is let people know to visit your site, and they can send you requests at their own convenience. Sharing your StadiumRoar site works just like sharing any other site - we recommend getting the word out by posting links and sending some emails. Learn more about spreading your site.
How Site Visitors Make Requests Once on Your Site
Once someone comes to your site as a public visitor, for the person to make an online facility request, all the person needs to do is click a View Facility Schedules link, which is prominently displayed in the Membership box on the Home page for all public visitors. Once the link is selected, visitors will be given options to browse your schedules and make online requests.
What Happens Once a Request is Made
Once a request is made, the following will occur:
1.) You'll instantly be notified by email that a request has been made, and you'll be prompted to log into StadiumRoar and view the request in your Facilities area
2.) The request will appear in your Time-Slot Requests Sent to Me tab, where you can see the name of the sender, the location requested, the program the location is intended for, and the dates and times wanted
3.) You'll have the option to accept or deny the request; if you accept, it will become booked and the person who made the request will be notified by email, and if you deny, it will not be booked, and the person who made the request will be notified by email
